General Statement of Duties and Responsibilities:
Reporting directly to the Administrative Services Manager, the Office Assistant serves as the Receptionist and Office Assistant by providing clerical and administrative support.
Responsibilities:
- Handle Front Desk operations; serve as receptionist and/or switchboard operator, maintain records and sort and distribute mail
- Assist with researching and obtaining quotes for equipment, supplies, software, etc.
- Assist with monitoring office supply orders, accepting office supply deliveries and updating the IT Orders & Shipments workspace in MS Groove
- Submit work orders via email for technical assistance with hardware, software, telephone, network, etc. for IT staff
- Perform data entry to update various database and web-based applications
- Draft memos and emails when necessary; create spreadsheets, PowerPoint presentations and charts as needed
- Assist with communicating technical difficulties and/or outages to the GC community
- Serve as back-up for various activities such as schedule appointments for the AVP and Director of Administrative Operations, check departmental email and voice mail and respond accordingly to requests and provide assistance with search process
- All other duties as necessary
Qualifications:
High School Diploma or Equivalency preferred; One year of general office experience preferred; Experience with MS Outlook a must; Able to perform data entry; Knowledge of various computer programs a definite plus; Excellent customer service skills essential.
Salary Range: $10.00 per hour/20 hours per week
