SECOND COMPREHENSIVE EXAMINATION: THE ORAL EXAMINATION / DISSERTATION PROPOSAL DEFENSE

Registering for the Second Examination

At the earliest opportunity, the student must notify the Associate Director (pgiovine@jjay.cuny.edu) of their intention to schedule a defense in the coming semester. Usually the student should inform the Program of his/her Second Exam at least 30 days ahead of the scheduled date. The Associate Director will facilitate the process of preparing all necessary documentation.

PREREQUISITES:

• Completion of First Examination
• Completion of at least 54 course credits
• Completion of the online GC Human Subjects course.
• IRB Approval (see below)
• A committee comprised of a mentor and two readers. The dissertation mentor must be a member of the doctoral faculty.


IRB APPROVAL:
Only IRB approved proposals will be considered in the second examination. The student should submit her proposal to Ms. Joan Ward at John Jay College for IRB review. The IRB schedule is available on the John Jay web page or by calling Ms. Ward (212-237-8961).


DOCUMENTATION:
Seven documents must be submitted to the doctoral program office before a second examination date will be scheduled. These include:

  • A copy of the approved reading list for the first part of the examination
  • An electronic copy of the abstract for the proposal – can be emailed to pgiovine@jjay.cuny.edu
  • One full hard-copy and one electronic copy of the dissertation proposal – can be emailed to pgiovine@jjay.cuny.edu
  • A copy of the “Certificate of Completion” for the online Human Subjects course required by the CUNY Graduate Center
  • A copy of the full IRB proposal
  • A copy of the IRB approval letter
  • A copy of the “Dissertation Proposal Clearance: Human Subjects” form that is submitted to the Graduate Center (available in the doctoral program office).


Once these documents are on file in the doctoral program office, the student should coordinate, with her committee, the selection of a minimum of three potential dates for the second examination (a minimum of 30 days in the future).


EMAIL NOTIFICATIONS:
Two emails (one from the mentor and one from the student) must be sent to the Executive Officer (kterry@jjay.cuny.edu) with a copy to the Associate Director (pgiovine@jjay.cuny.edu).

  • The student’s dissertation mentor should email the Executive Officer indicating that the student is sufficiently prepared for the examination. This email serves as the official request that an examination date be scheduled. No second examination will be scheduled without the mentor’s certification.
  • The student should email a copy of the abstract for the proposal and a list of potential dates

OUTSIDE EXAMINERS:
The Executive Officer will appoint two members of the doctoral faculty as outside examiners and identify a mutually agreeable date. A member of the Executive Office (Dr. Todd Clear, Dr. Karen Terry, or Dr. Joshua Freilich) will sit in on every second examination. The Associate Directorwill notify the student, the committee, and the outside examiners when the examination has been scheduled.

The student must insure that the outside examiners and the Doctoral Program Office have copies of the final proposal at least two weeks before the Oral Exam/Dissertation Proposal Defense date.
